Project Assistant
Location: On-site, Monday through Friday, 8:00 AM – 5:00 PM

Overview:
The Project Assistant position supports project success by handling administrative and financial functions critical to project flow. Collaborating closely with project leads, you’ll help drive progress and ensure timelines and deliverables are achieved effectively.

Key Responsibilities:

  • Document Handling:
    Systematically file, manage, and process all paperwork related to project execution with a strong focus on accuracy.

  • Proposal Support:
    Contribute to assembling detailed proposal packages for bidding processes.

  • Contract Coordination:
    Oversee administrative tasks linked to contracts, track submittals, and update project logs consistently.

  • Order Processing:
    Manage and track modifications and purchase orders to support uninterrupted project operations.

  • Vendor and Partner Liaison:
    Address queries from suppliers and subcontractors, redirecting as needed to appropriate team members.

  • Project Communication:
    Facilitate internal and external communications to maintain consistency across involved parties.

  • General Support:
    Play a pivotal part in organizing and structuring project workflows to meet deadlines and maintain operational clarity.

Candidate Profile:

  • Educational Background:
    High school diploma required; coursework or training in fields such as finance, business administration, or accounting considered advantageous.

  • Professional Experience:
    3 to 5 years in administrative or accounting roles is required; exposure to commercial construction workflows is highly preferred.

  • Communication Proficiency:
    Strong command of written and spoken communication to interact effectively with vendors, contractors, and internal teams.

  • Organizational Strengths:
    Detail-focused and adept at managing time and tasks in environments with frequent deadlines and shifting priorities.

  • Work Style:
    Service-oriented and comfortable balancing people skills with numerical accuracy. Capable of contributing within a team while remaining flexible and solution-driven.

  • Disposition:
    Brings enthusiasm and professionalism to the workday and has a genuine interest in the construction field. Active participation in workplace culture and team events is encouraged.

Technical Competencies:

  • Solid command of Microsoft Office applications (Excel, Word, PowerPoint, Outlook).

  • Prior use of industry-specific financial or project management software is a plus.

  • Holding a Notary Public certification is beneficial but not required.
